Payment Terms and Price Breaks
Incredibly Cool Events (ICE) offers 3 price breaks;
Coaches are provided with price and deadline information.
Payment deadlines for each event are detailed on the individual event page on our website.
The deadline dates relate to payment dates not competition entries.
Payments must be received and cleared in full in order for the team to be included on the Running Order. Please ensure that registration and entry fees have cleared in our account before these deadline dates as late payment and registration will cause your pricing to jump to the next price break. If a team is not paid IN FULL by the late payment deadline, the team will not be included on the event running order.
If you are a University or school, or your funding method may take longer to process, please email email@example.com in advance to ensure that automatic price increases do not occur.
If an event hits sell out point, registrations will be accepted in the order that payments have been made.
Payment must be made by bacs. Bacs details are given at point of submitting entry. You will be issued with a VAT invoice which will be sent to your email address.
If you have any queries regarding your invoice please email firstname.lastname@example.org where a member of our team will be on hand to help you. Upon receipt of your entry form and payment, you will be added to the running order and receive updates throughout the days leading up to the competition on the Facebook event page and via email.
Spectator tickets can only be purchased by team Coaches.
Wristband Delivery Information
Coaches who have opted and paid to have wristbands delivered will receive their wristbands prior the event. The wristbands are sent out via Royal Mail and you will receive a tracking number via email. Any forgotten or misplaced wristbands must repurchased so please be mindful to this as no exceptions will be made.
Revisions to Original Entries
Any changes you wish to make, including withdrawal from the competition, before late payment deadline must be emailed to email@example.com any changes after the late payment deadline will not be accepted.
Any teams wishing to withdraw from the competition will be refunded according to the following timescale;
- Before Early Bird: 100% less £50 administration fee or option to transfer to another ICE in the current season
- On Time: 75% less £50 administration fee or option to transfer to another ICE event in the current season
- Late Payment: 25% or option to transfer to another ICE event in the current season
There will be no refunds made for any competitor who wishes to withdraw.
In the case of competitor illness or injury, substitutions can be made free of charge by emailing details to firstname.lastname@example.org
Refunds are processed 30 days from date of relevant event
Incredibly Cool Events (ICE) accept no liability for any travel or accommodation bookings that may have been made in relation to an ICE event.
Running order adjustments
ICE will endeavour to create the running order to accommodate team crossovers and order of registration. However, we cannot guarantee to facilitate every request due to limited timings of the event and judging panels.
The Running Order is at the sole discretion of Incredibly Cool Events (ICE). If you have a request to make changes to the running order, please contact email@example.com before the late deadline. This does not guarantee that your request can be approved.
Event Cancellations, Delays or Alterations
Due to any circumstances that affect an event which are beyond our control, primarily we will take every action possible to retain the event date, our second action will be to re schedule the event. Upon exhausting all efforts to fulfil our obligation to deliver the event, the event would be cancelled. If the event is cancelled, Incredibly Cool Events (ICE) will reimburse entry and tickets fees. ICE will not take responsibility for any loss of hotel, travel or any other event related expenses.
Incredibly Cool Events will not be liable for the delay in delivering or for failure to deliver its obligations if the delay or failure results from any of the following:
(i) Acts of God;
(ii) Outbreak of hostilities, riot, civil disturbance, acts of terrorism;
(iii) The act of any government or authority (including refusal or revocation of any licence or consent);
(iv)Fire, explosion, flood, fog or bad weather;
(v) Power failure, failure of telecommunications lines, failure or breakdown of plant, machinery or vehicles;
(vi)Default of suppliers or sub-contractors;
(vii) Theft, malicious damage, strike, lock-out or industrial action of any kind;
(viii) Any cause or circumstance whatsoever beyond either party’s reasonable control
Photography / Video
No photography is permitted in the competition hall or in any photography based areas such a team photos or anywhere similar. Phones and tablets are permitted, and this is the only exception.
You may be asked to leave if this rule is ignored.
By attending any ICE event, you the programme/director or coach in charge of the athletes and spectators that you bring to the event, are responsible for ensuring each person under your programme has given permission to having their photograph taken at any point. By attending any of our events, you are aware and give full permission to have your and any other person in your programme to have their photo taken at any point by ourselves or any third party companies we arrange to attend. You agree that both ourselves and the third party can display, sell, and print any photo they take in any way. You agree that these images can be used for promotional materials of any kind. You agree that these photos can and will be displayed either on our own or a third parties computer systems and website for display, promotion, sale and for any other reason.
